CK Communications (β€œCK Communications”, β€œwe”, β€œus” or β€œour”) respects the privacy of our clients, prospective clients, media contacts, suppliers, website visitors, social media users and other individuals whose personal information we may process in the course of providing our services.

This Privacy Policy explains how we collect, use, store and protect personal information and how we use information in providing public relations, digital communications, social media, content creation and related services.

We are based in South Africa and process personal information in accordance with applicable South African law, including the Protection of Personal Information Act, 2013 (POPIA).

CK Communications is a communications agency providing services that may include:

We provide many of these services on behalf of our clients. This means that, in some circumstances, we may process personal information as part of managing a client's communications, social media presence, campaigns or public enquiries.

The information we process depends on the nature of our relationship with you and the services involved.

It may include:

  • company, organisation or professional information;

  • email addresses and telephone numbers;

  • correspondence and enquiries sent to CK Communications;

  • information supplied by clients and prospective clients;

  • media contact and professional information;

  • social media usernames and publicly available profile information;

  • comments, direct messages, replies and other communications sent to social media accounts managed by CK Communications;

  • information submitted through websites, forms, campaigns or digital platforms;

  • technical information required to operate authorised digital integrations.

We aim to collect and process only information that is reasonably necessary for the relevant purpose.


3. How We Use Personal Information

  • communicate with clients, prospective clients, suppliers and other business contacts;

  • respond to enquiries;

  • develop and distribute communications and content;

  • conduct public relations and media relations activities;

  • manage social media accounts and online communities;

  • monitor and protect the reputation of our clients;

  • fulfil contractual obligations;

We do not sell personal information.


4. Public Relations and Media Relations

As part of our public relations services, CK Communications may maintain and use professional contact information relating to journalists, editors, broadcasters, publishers, content creators and other relevant media contacts.

This information may be used for legitimate public relations activities such as distributing media releases, responding to media enquiries, arranging interviews and communicating information relevant to a person's professional role.

Where appropriate, individuals may request that their information be corrected or removed from our contact records.


5. Social Media and Community Management

CK Communications manages or assists with social media accounts on behalf of authorised clients.

When you interact with one of these accounts, we may process information that you choose to make available through the relevant social platform. This can include your username, profile information, comments, messages, questions, complaints and other interactions.

We may use this information to:

  • respond to questions and enquiries;

  • provide community management services;

  • identify comments or messages requiring attention;

  • manage complaints or potentially sensitive communications;

  • identify spam or inappropriate content;

  • assist our clients with customer and public communications; and

  • understand the performance and effectiveness of communications.

The social media platform itself may independently collect and process information about you under its own privacy policy and terms.


6. Facebook and Instagram

CK Communications may use services and application programming interfaces (β€œAPIs”) provided by Meta Platforms, Inc. to manage authorised Facebook and Instagram accounts.

Where a client has authorised CK Communications to connect an account, our systems may access information permitted by Meta and the account owner. Depending on the services and permissions available, this may include:

  • account and profile information;

  • posts and media;

  • comments and replies;

  • direct messages; and

  • information necessary to manage communications associated with the account.

This information is used for legitimate communications-management purposes on behalf of our clients.

Access is limited by the permissions granted by the account owner and the functionality made available or approved by Meta.

CK Communications does not sell Facebook or Instagram user data.


7. Agency Assistant and AI-Assisted Communications

CK Communications uses an internal communications-management application called Agency Assistant to assist our team with managing authorised client communications.

Agency Assistant may be used to:

  • monitor comments and messages received by authorised client social media accounts;

  • distinguish communications that require attention from spam or routine interactions;

  • identify questions, complaints or potentially sensitive communications;

  • prioritise communications for human attention;

  • suggest appropriate responses;

  • support consistent brand language and tone;

  • assist with frequently asked questions;

  • assist with copywriting and content creation; and

  • support CK Communications in delivering communications and community-management services.

Agency Assistant does not independently connect to or access a client's social media account without the relevant account being authorised for use with the service.

Artificial intelligence

Agency Assistant and other CK Communications workflows may use artificial intelligence to assist with tasks such as:

  • analysing and categorising communications;

  • identifying communications that may require human attention;

  • assessing communications against predefined rules;

  • preparing suggested responses;

  • adapting communications to approved brand information and tone; and

  • assisting with content and copy creation.

AI-generated material may be reviewed, amended or approved by a person before use.

We apply safeguards intended to reduce inappropriate or inaccurate responses, including client-specific information, communication rules and escalation requirements.

Artificial intelligence is used as a tool to support our communications work and does not remove CK Communications' or our clients' responsibility for communications ultimately issued on their behalf.

Where third-party AI or technology providers process information on our behalf, we aim to provide only the information reasonably necessary to perform the relevant function.


8. Digital Advertising, Websites and Analytics

CK Communications may manage digital advertising, websites or online campaigns for clients.

These services may involve aggregated or individual information supplied by advertising platforms, websites, analytics services or users themselves.

We may use this information to understand campaign performance, website activity, enquiries and the effectiveness of communications.

Third-party advertising, analytics and social media platforms may also process information independently under their own privacy policies and terms.


9. Information Received From Our Clients

In some circumstances, CK Communications processes personal information supplied by a client in order to provide services on that client's behalf.

Where our client determines why and how that information is processed, the client may remain responsible for its own obligations under applicable privacy law.

CK Communications will use such information for the purposes for which it has been provided and in accordance with our contractual and legal obligations.


10. Service Providers and Third Parties

We may use trusted third-party technology and service providers to operate our business and provide services.

These may include providers of:

  • website hosting;

  • cloud and database infrastructure;

  • social media platforms;

  • artificial intelligence services;

  • analytics;

  • digital advertising;

  • email and communications services; and

  • other business technology.

Information may be processed by these providers where reasonably necessary to deliver the relevant service.

We may also disclose information where required by law or where reasonably necessary to establish, exercise or protect legal rights.

We do not provide personal information to third parties for them to sell for their own purposes.

Some of the technology platforms and service providers we use may process or store information outside South Africa.

Where personal information is transferred internationally, we take reasonable steps to use reputable service providers and to ensure that information is handled in accordance with applicable legal requirements.

Access to internal systems, client accounts and Agency Assistant is restricted to authorised users.

Credentials, access tokens and other sensitive technical information used to connect authorised accounts are intended to be stored securely and are not made publicly available.

No electronic system can be guaranteed to be completely secure, but we take reasonable measures appropriate to the information and services involved.


13. Data Retention

We retain personal information only for as long as reasonably necessary for:

  • the purpose for which it was collected;

  • providing services to our clients;

  • legitimate business and record-keeping requirements; or

  • complying with legal or regulatory obligations.

Information that is no longer required may be deleted, anonymised or securely removed as appropriate.

South African data subjects may exercise the rights available under POPIA.

Certain information may be held or controlled independently by a third-party platform such as Facebook or Instagram. In those circumstances, you may also need to exercise your rights directly with that platform.

If you would like CK Communications to delete personal information that we hold about you, please contact us using the details below and state that your request relates to data deletion.

Please provide sufficient information for us to identify the relevant records.

If your request relates to an interaction with a Facebook or Instagram account managed by CK Communications, please include the relevant account, platform and username where possible.

We will assess and process valid requests in accordance with applicable law and any legitimate retention requirements.

Deleting information held by CK Communications does not necessarily delete information independently held by Facebook, Instagram or another third-party platform.


16. Cookies and Website Technologies

Our website may use cookies or similar technologies necessary for website operation, functionality, security or analytics.

Third-party services incorporated into our website may also use their own technologies and process information in accordance with their respective privacy policies.

Where required, users may manage cookies through available website controls or their browser settings.

Our services are primarily directed towards businesses and organisations and are not designed for the intentional collection of personal information from children.
